What Youโll Do
As the Account Manager & Administrative Coordinator, you will play a critical role in managing the financial and operational aspects of our business while ensuring our clients feel welcomed, valued, and cared for. Your responsibilities will include:
Financial Management & Bookkeeping
- Manage and maintain the companyโs bookkeeping using QuickBooks.
- Prepare and send client invoices promptly.
- Collect payments and provide Statements of Account.
- Conduct bank reconciliations to ensure accurate financial records.
- Oversee purchases and maintain records of all business expenses.
- Develop monthly, quarterly, and annual financial reports.
- Work with the Director to create budgets and forecasts to support business growth.
Client & Office Coordination
- Answer phones, schedule appointments, and respond to inquiries professionally and efficiently.
- Greet clients with warmth and ensure their experience meets or exceeds expectations.
- Maintain excellent communication and relationships with clients, providing timely updates on their accounts.
- Assist with administrative tasks related to Airbnb property management and small construction projects.
Operational Support
- Support the Director in coordinating day-to-day operations across our medical aesthetics, Airbnb, and construction services.
- Handle vendor communications and order office supplies as needed.
- Identify and implement process improvements to streamline operations.
What Weโre Looking For
- Education & Experience: A background in accounting, bookkeeping, or financial management. Certification in bookkeeping (e.g., QuickBooks ProAdvisor) is a strong asset.
- Administrative Excellence: At least 2 years of experience in an administrative or client-facing role.
- Communication Skills: Exceptional verbal and written communication skills in English (French is a bonus!).
- Customer Service-Oriented: A friendly, approachable demeanor with a focus on delivering a five-star client experience.
- Tech-Savvy: Proficient with QuickBooks, Microsoft Office Suite, Google Workspace, and scheduling platforms. Experience with Mindbody, ActiveCampaign, or Lodgify is a plus.
- Multitasker Extraordinaire: Ability to manage multiple priorities in a fast-paced, dynamic environment.
- Attention to Detail: Youโre meticulous, ensuring nothing falls through the cracks.
