Role Overview:
As the Guest Experience Coordinator, you will be responsible for creating a warm, inviting atmosphere for our clients while managing day-to-day operations at the front desk. Your role will be pivotal in delivering an exceptional client journey, from booking appointments to ensuring seamless communication with the clinical team.
Key Responsibilities:
- Client Relations:
- Greet clients with a warm, professional, and friendly demeanor.
- Assist clients in booking and managing appointments, both in-person and online.
- Educate clients about our treatments, services, and membership programs.
- Address client inquiries and concerns promptly and professionally.
- Operational Duties:
- Manage daily appointment schedules, ensuring smooth operations.
- Maintain a clean, organized, and welcoming front desk and reception area.
- Process payments and manage financial transactions accurately.
- Coordinate with clinicians to ensure timely client flow.
- Promotions and Engagement:
- Promote spa services, packages, and retail products to enhance the client experience.
- Assist in implementing promotional campaigns and special events.
- Follow up with clients post-appointment to gather feedback and ensure satisfaction.
- Administrative Support:
- Manage client records with precision and confidentiality.
- Support the team with administrative tasks, including inventory management and report preparation.
What Weโre Looking For:
- Experience:
- Previous experience in a client-facing role (preferably in a spa, medical clinic, or hospitality setting).
- Strong organizational skills and the ability to multitask in a fast-paced environment.
- Skills and Attributes:
- A passion for delivering outstanding guest experiences.
- Excellent communication and interpersonal skills.
- Tech-savvy with proficiency in scheduling and payment software (experience with Mindbody or Jane is an asset).
- Professional appearance and positive attitude.
- Availability:
- Flexibility to work varying shifts, including evenings and weekends.
