Role Overview:

As the Guest Experience Coordinator, you will be responsible for creating a warm, inviting atmosphere for our clients while managing day-to-day operations at the front desk. Your role will be pivotal in delivering an exceptional client journey, from booking appointments to ensuring seamless communication with the clinical team.


Key Responsibilities:

  • Client Relations:
    • Greet clients with a warm, professional, and friendly demeanor.
    • Assist clients in booking and managing appointments, both in-person and online.
    • Educate clients about our treatments, services, and membership programs.
    • Address client inquiries and concerns promptly and professionally.
  • Operational Duties:
    • Manage daily appointment schedules, ensuring smooth operations.
    • Maintain a clean, organized, and welcoming front desk and reception area.
    • Process payments and manage financial transactions accurately.
    • Coordinate with clinicians to ensure timely client flow.
  • Promotions and Engagement:
    • Promote spa services, packages, and retail products to enhance the client experience.
    • Assist in implementing promotional campaigns and special events.
    • Follow up with clients post-appointment to gather feedback and ensure satisfaction.
  • Administrative Support:
    • Manage client records with precision and confidentiality.
    • Support the team with administrative tasks, including inventory management and report preparation.

What Weโ€™re Looking For:

  • Experience:
    • Previous experience in a client-facing role (preferably in a spa, medical clinic, or hospitality setting).
    • Strong organizational skills and the ability to multitask in a fast-paced environment.
  • Skills and Attributes:
    • A passion for delivering outstanding guest experiences.
    • Excellent communication and interpersonal skills.
    • Tech-savvy with proficiency in scheduling and payment software (experience with Mindbody or Jane is an asset).
    • Professional appearance and positive attitude.
  • Availability:
    • Flexibility to work varying shifts, including evenings and weekends.
